The Elevate Conference Cancellation and Postponement & Replay Policy outlines the terms and conditions regarding the cancellation, postponement, and availability of session replays. This policy is designed to provide clarity and manage expectations for all attendees, sponsors, exhibitors, and speakers. By participating in the Elevate Conference, you acknowledge and accept the terms and conditions outlined in this policy.

1. Cancellation Policy

Cancellation by Attendees:

  • Refund Eligibility: If an attendee needs to cancel their registration, they must notify the conference organizers in writing within 48 hours of the event start date by emailing info@toluareola.com.
    • Full Refund: Cancellations made more than 60 days before the event date are eligible for a full refund minus any applicable processing fees.
    • Partial Refund: Cancellations made between 30-60 days before the event date are eligible for a 50% refund.
    • No Refund: No refunds will be provided for cancellations made less than 30 days before the event date unless written proof of circumstances beyond the attendee’s control is provided, such as an “Act of God”.

Cancellation by Organizers:

  • The Elevate Conference organizers will only cancel the event in the event of natural disasters or unforeseen dire circumstances (referred to as “Acts of God”). In such instances, all registered attendees will receive a full refund of their registration fees and will be notified via clear and timely communication. Please allow 7-14 business days for full refunds should there be a cancellation beyond our control.
  • The organizers are not responsible for any additional costs incurred by attendees, such as travel or accommodation expenses.

2. Postponement Policy

Postponement by Organizers:

  • In the event that the Elevate Conference is postponed due to unforeseen circumstances such as natural disasters, pandemics, or other “Acts of God” events, all registrations will be transferred to the rescheduled dates. The organizers will provide timely and clear communication regarding the new event dates and any additional changes to the schedule.
  • Email communication will be sent to all parties involved, including attendees, staff, volunteers, and sponsors, to ensure everyone is informed about the postponement and the new dates.

Refunds for Postponed Events:

  • If an attendee is unable to attend the rescheduled event dates, they may request a refund or transfer their registration to another person. Refund requests must be made in writing within 14 days of the announcement of the new dates. Requests made after this period may not be eligible for a refund.

3. Replay Policy

Availability of Replays:

  • The Elevate Conference will attempt to provide access to session replays for a specified period after the event. Attendees will be informed of the replay access duration and how to access the recordings via email.
  • Replays are not guaranteed, and if available, only several sessions may be provided rather than the full conference. Availability will be communicated as needed.

Replay Limitations:

  • While the organizers will make every effort to ensure that all sessions are recorded and available for replay, technical issues or other unforeseen circumstances may prevent the recording of certain sessions. In such cases, the organizers will not be liable for the unavailability of specific session replays.

Access and Usage:

  • Replays are provided to support the learning and reference needs of the attendees. Attendees must respect the intellectual property rights of the speakers and the conference by not duplicating, distributing, or using the replay content for any unauthorized purposes.

4. Intellectual Property and Content Rights

Speaker and Session Rights:

  • All content provided during the Elevate Conference, including live sessions and replays, is the intellectual property of the respective speakers and the conference. Attendees must not duplicate, redistribute, or use the content without explicit authorization from the conference organizers.

Respect for Intellectual Property:

  • Attendees are expected to respect the intellectual property rights of the speakers and the conference by not sharing or distributing session replays without proper authorization.

5. Conduct and Compliance

Respectful Engagement:

  • Attendees are expected to engage with the conference content and other participants respectfully and professionally. This extends to interactions during live sessions, on social media, and in the usage of replay content.

Enforcement Actions:

  • The Elevate Conference organizers reserve the right to take enforcement actions against any attendee who violates this policy, including removal from the event, revocation of replay access, and legal action if necessary.
